Keep STAER running smoothly behind the scenes. Coordinate schedules, documentation, and internal processes to ensure that every project — from audit to development — operates efficiently and on time.

Purpose Statement

Maintain operational structure and administrative clarity across STAER offices and teams. Provide organizational support that enhances productivity, compliance, and internal communication.

Primary Duties

Operational Administration

  • Coordinate internal workflows, schedules, and meetings across STAER teams.

  • Maintain records, templates, and procedural documentation.

  • Track deliverables and deadlines, ensuring timely follow-up.

Internal Communication

  • Act as a single point of contact between management and departments.

  • Prepare internal newsletters, memos, and briefing notes.

  • Support onboarding of new employees and contractors.

Document Control & Reporting

  • Maintain version control of internal documents, contracts, and policies.

  • Manage approvals and digital filing in corporate systems (Nextcloud, CRM, internal audit portal).

  • Prepare weekly activity summaries and progress reports.

Office & Resource Management

  • Handle internal logistics, workspace organization, and basic procurement needs.

  • Liaise with service providers and partners for office-related matters.

  • Support planning of corporate events and internal meetings.

Compliance Support

  • Ensure adherence to internal administrative and audit standards.

  • Support HR and Legal teams with document formatting and updates.

Knowledge, Skills & Experience — Must Haves

  • 2–5 years of administrative or coordination experience (consulting, corporate, or government).

  • Excellent organizational and multitasking skills.

  • Strong written and verbal communication (English and Russian).

  • Confident with MS Office, Google Workspace, or similar tools.

  • Familiarity with digital filing systems (e.g., Nextcloud, SharePoint) preferred.

  • High level of confidentiality and professional discretion.

Performance Metrics (KPIs)

  • Timeliness and accuracy of internal reporting and documentation.

  • Response rate to internal requests and completion tracking.

  • Quality and structure of document management.

  • Stakeholder satisfaction within departments.

  • Smooth onboarding and internal communication efficiency.

Qualifications & Certificates

  • Bachelor’s degree in Business Administration, Management, or similar field.

  • Administrative certification or project coordination experience is an advantage.
